Staff Support Specialist
​

Reports to: Executive Director/Office Manager
Supervises: N/A Reports to: Executive Director/Office Manager
Hours: 28-32 hours a week
​

Summary:
The Staff Support Specialist is responsible for assisting the Executive Director and all HCC staff with administrative support via excellence, proficiency and timeliness to assist them in running smooth departments and projects for the benefit of HCC and the mission. This includes but is not limited to creative communications solutions, database refinement, maintaining supplies, and executing special projects as well as greeting stakeholders and students in a friendly, professional, and resourceful manner. 

Responsibilities: 
  • Proactively at the beginning of the week go to staff for administrative help.
  • Enter programming & volunteering data into Salesforce Mondays after a weekend of activities. 
  • Monitor the copier machine, ordering supplies, maintenance, and troubleshooting. 
  • Assist with board and new hire orientation and packets. 
  • Regularly clean Constant Contact lists and mirror in Salesforce. 
  • Create regular data cleaning processes including data input. 
  • Serve as office admin with regular tasks of bulk mailings, phone calls, receiving mail, etc. 
  • Collecting payments online and through mail, record in Salesforce, communicate with finance team and send to finance admin for Quickbooks. 
  • Welcome and greet visitors with cheerful demeanor, taking hospitable steps to serve their needs.
  • Manage building renters, payments and scheduling. 
  • Watch and refill postage accounts. 
  • Regular reporting on behalf of departments (individual volunteers, number of students in a given time frame)
  • Manage timely communications gathering and editing from staff for Eletters, Website, fliers, and newsletters. 
  • Review software, its use, and according to budget (Amazon, CrashPlan, other)
  • Know office budget for supplies and order as necessary. 
  • Assist during major HCC events like Welcome Picnic, Friendraiser, 5K
Requirements:
  • Intermediate computer skills, Microsoft Office, experience with email marketing software (Mailchimp, Constant Contact)
  • Demonstrated knowledge of standard office procedures. 
  • Effective & clear communicator

Schedule:
Ideally Monday-Thursday; 8:30am-5:00pm.
